 The Netherlands - Terms & Conditions

 

 

Minimum Rental Days

Pick up and drop off days are counted as one rental day - only if 24 hour hasn't passed yet.

Peak Season - minimum 14 days required

Shoulder Season - minimum 7 required

Off Season - minimum 7 days required

Christmas period - for rentals between 22 December till 11 January - 14 days required.

 

Reservations

Reservations of motorhomes must be confirmed by the rental company in writing and they are exclusively binding for vehicle groups, not for vehicle types.

Please Do Not finlize flights before a final confirmation.

 

Payments

A down-payment of 30% of the rental (minimum 400 Euro) is taken via client's credit card Visa or Master- Card at the time of confirmation. The rest of the payment is due and payable 55 days prior to pick up day by a credit card Visa or Mastercard or via bank transfer.
Note: If you prefer to make a bank transfer, please make sure the funds will be delivered to our account no later than 55 days prior pick up. We have the right to cancel your booking incase it's not paid in full and on time.
For reservation made 55 days or less prior to pick up day - full amount is due upon reservation.

 

Cancellations Fees:
55 days or more prior to pick up 30% of the total booking (minimum 400 Euro)
54-20 days prior to pick up - 50% of the total booking ,
19- 5 days before pick up - 80% of the total booking ,
Less than 5 days before pick up / Non show - 100%
In any case of cancellation, a handling fee of 50 Euro will be charged, in addition to the cancellation fee.
If  vehicle is returned early for any reason whatsoever No refund available
If a booking travel dates are amended to a lower season rates or less number of days, the cancellation fee for the original booking will apply.
A cancellation of a booking MUST be made by the client in writing by e-mail or by fax and recieved at our office during operation hours.
 

Changes in Reservation

After the reservation has been confirmed, a charge of handling fee of 35 EUR will be applied per any change. This refers only to MINOR changes like adding items, or changing the pick up/drop off date in 1-2 days. Major changes like: changing dates, changing model, changing location, changing client's name would be concidered as cancellation of the booking and will cause cancellation fees.
Changes may be made to a reservation confirmed to the Hirer from the date of reservation until at least sixty days before the agreed commencement of the rental period, as long as the Rental Firm has alternative capacity and the alternative booking corresponds in amount to the first. Rebooking is only possible in the same calendar year.

Minimum age / Authorized drivers / Driving License

The hirer has to have a valid driving license and a valid identity card or passport.
Minimum age of hirer and driver for California, Compact, Family Standard ,Family Plus, Family Luxury and Comfort is 23 years, and valid license B at least 3 years before rental.

Those in possession of a Class B driving license must consult the company about the engine size and the technically permissible total weight of the vehicle rented.
The Vehicle may only be driven by the renter himself/herself and by the drivers specified in the rental contract.
Hirers are required to observe the statutory rules and regulations (driving license, traffic regulations).
A valid driving license must be submitted when hiring the motorhome.

 

Security Deposit

A security deposit of 1,000 EUR must be paid on pickup day by Visa or Mastercard  credit card only.

The security deposit is refunded if the vehicle is returned clean inside, with emptied toilet tank and with no damage. Any extra costs incurred are deducted against the security deposit when the vehicle is returned.

Note - The security deposit is refunded to the credit card account up to 14 days after drop off.

 

Note: The booking will be made on the name of the main driver who also must be the holder of the credit card for the deposit at pick up.

 

Fuel

Fuel and operating costs are to be borne by the renter.

The vehicles are handed with full fuel tank and must be returned with full fuel tank, otherwise there will be a charge 2.5 Euro per liter include service if necessary.

   

Pick-Up And Drop Off

Pick up and drop off are possible only in the rental depots.

No pickup and drop off on Sundays, Mondays and holidays (see the above list)

Arrival Day - First Night at a Hotel
Clients who arrive by international flights are not allowed to drive a motorhome on flight arrival day.
The client must overnight in a motel/hotel. 

Getting to the Rental Depots
Arrival to/from the rental center are at the client's expense. 

 

On-Line Check In : please note you must do Online Check In (Speed-pass) and call the rental location at least 3 working days prior your Pick-Up to arrange a suitable time for the vehicle Pick-Up or the transfer (if booked).

 
Pick Up
Tuesday to Friday 15:00-17:00, Saturday 13:00-15:00
Station is closed on Sunday and Monday.
Pick up / Drop off on Saturday is possible on special request and with additional charge of 81 EUR per each pick up or drop off.

Early Pick up if possible, client will be charged of 45 EUR per every extra hour or part of an hour.
The renter is obliged to participate in a comprehensive vehicle instructions tour at the rental station. Any resulting delays of receipt and costs are at the expense of the renter.

 

Important!

* Before signing the contract please check the vehicle from the inside and outside and make sure there are no damages or broken parts. If there is some damage, have it noted to the rental agent in writing.

* Make sure you have all the items you paid for, and that nothing is missing.

* Before the departure make sure you know how to operate all the motorhome systems, mechanicals and electrical: refrigerator, heating, air condition, water etc. If it's not clear, you may ask for explanations.

* Please ask for a map or directions to nearby campground and supermarkets for you to stock up on food and bottled water.

 

Drop Off

Tuesday to Friday 09:00-10:00 Saturday 09:30-10:30

Sunday and Monday - Closed.

Drop off in the afternoon is possible only with permission and with the cost of extra day.

Drop Off on Saturday is possible on request and with additional charge of 81 EUR
No drop offs on Sundays and Mondays.

The Vehicle must return clean on the inside & with emptied toilet tank, Otherwise the client will be charged for the cleaning costs of at least 150 EUR + 166 EUR for dumping.

The return of the vehicle is confirmed by the signature of the officer of the rental station on the return report. Without that signature, all damage to the vehicle is to be borne by the renter, especially if the vehicle is left at the station outside the business hours.

 

Late Return
The client will be charged of 45 EUR
for every extra hour or part of an hour (and maximum daily rate for every day late) of being late, and also for all other losses caused by the delay.
An extension of the agreed rental period is only possible after the Rental Firm has given its respective approval. If the rental form has not given its approval, the Hirer must pay, for every day or part of a day that the vehicle is returned late, a contractual penalty according to the respective weekly rate plus an amount of  400 Euro. This shall not apply in case the Hirer can prove that the rental period was exceeded due to a technical defect of the vehicle and that the Hirer notified the Rental Firm of that defect immediately after it had occurred.


Early Return

There will be no refund for early return.

 
Return Checklist, Damage Report

Any damages detected by the renter on the vehicle or its equipment after the start of the rental period must be immediately reported to the rental station, or at the latest, when the vehicle is returned.

The renter cannot assert any claims if the underlying damages of such claims are not established in the checklist in writing and in detail.

 

Prohibited use, duty of care

The Hirer is prohibited from using the vehicle as follows: to participate in motor sport events and vehicle tests, to transport easily inflammable, poisonous or otherwise dangerous substances, to commit Customs or other criminal offences, even if these are only punishable according to the law applicable in the place where the offence was committed, for rental to a third party or for the commercial transport of passengers or for any other use going beyond that agreed by contract, in particular driving on terrain not intended for the purpose.
The vehicle must be treated carefully and appropriately and properly locked on all occasions. The regulations and technical rules applicable to its use must be complied with. Its running condition, in particular oil and water levels and tyre pressure, must be monitored. The Hirer undertakes to check regularly to make sure that the vehicle is in a roadworthy condition.

Liability And Insurance
The motorhome is covered by a statutory motor vehicle third-party liability insurance with an insurance cover of up to 2.5 million Euro per case of damage to property
and bodily injury up to 6.1 Million Euro.
Moreover, the motorhome itself is insured in case of damage under a comprehensive motor insurance. The insurance premium is completely included in the rental charge; you will find an international insurance certificate (so-called Green Insurance Card) among the vehicle documents.
Per case of damage, the Hirer must bear an excess to a maximum amount of 1,000 Euro  If necessary, the excess is set off against the security deposit.
Any damage not covered by the insurance, such as for example damage caused by alcohol- or narcotics-related unfitness to drive, by leaving the vehicle to an unauthorized driver, etc., are completely at the Hirer's expense.
Any damage to the interior and/or the inventory is not covered by the insurance either so that respective costs of repair or replacement must be completely borne by the Hirer. The Rental Firm is not liable for any damage, whether direct or indirect, caused by acts of the Hirer


The indemnity against liability will not apply if the Hirer causes a loss/damage deliberately or by gross negligence.
If the Hirer causes loss/damage culpably, he will additionally be liable in the following cases:

*  if loss/damage was caused by impaired ability to drive due to drugs or alcohol

 if the Hirer or a driver to whom the Hirer has supplied the vehicle leaves the site of an accident without justification

  if the Hirer fails to call the police to an accident

 if loss/damage is caused by an unauthorized driver to whom the Hirer has supplied the vehicle

  if loss/damage is due to a failure to take account of the vehicle's dimensions -height German Road Traffic Regulations, with German Road Traffic Regulations

 if loss/damage is due to a failure to comply with load regulations

To avoid increasing costs due to expenses incurred to establish the amount of the damage suffered, the Rental Firm will in the event of accident damage initially supply the Hirer on request with sample invoices for the type of case concerned.
The Hirer is liable for all fees, charges, fines and penalties imposed upon the Rental Firm in connection with the use of the vehicle, unless these are incurred due to the fault of the Rental Firm.

 

Event of Accidents

After an accident, theft or damage by fire or collision with a wild animal, the police must be informed immediately and also the Rental Firm via the Service Hotline or the rental station (for Telephone Number see rental contract), at the latest immediately after the working day following the day of the accident/incident. It is not permitted to accept any third-party claims as valid.
Even in the case of very slight damage, the Hirer must prepare a detailed written report for the Rental Firm, including a sketch. If, for whatever reason, the renter fails to draw up such report and if, because of that, the insurance company refuses to pay the damage, the renter shall be obliged to pay full compensation for the damage.
The accident report must in particular include the names and addresses of anyone involved and any witnesses, together with the license numbers of all vehicles involved.

 

Defects in the motorhome

The vehicle is handed with instructions from all manufacturers of the technical equipment in the folder with the vehicle papers. In the event of technical problem, client should read first these instructions carefully as he may be able to avoid operating problems right from the beginning.

In the event of technical problems, client should contact the respective emergency number of the vehicle manufacturers or one of the rental branches, which will be glad to help and assist.

All relevant telephone numbers are written in the brochure or on the rental agreement.

Client must notify the rental station in advance of any defects that cannot be completely repaired during the journey, so that the stay in the workshop can be better planned and the necessary spares be obtained beforehand.

 

Repairs, substitute vehicle

Repairs which are necessary in order to maintain the vehicle in a good working and roadworthy condition during the rental period may be ordered by the Hirer up to
150 Euro
 without consultation.
Repairs going beyond this may only be ordered with the consent of the Rental Firm. The Rental Firm will bear repair costs on production of the original invoices and the parts replaced, as long as the Hirer is not liable for the damage. This does not apply to tyre damage.
If a defect for which the Rental Firm is responsible makes such a repair necessary, and if the Hirer does not rectify the defect on his own initiative, the Hirer must notify the Rental Firm of the defect immediately and set a reasonable deadline for its repair. Any circumstances specific to a particular country (e.g. infrastructure) which delay the repair must be taken into account here to avoid disadvantage to the Rental Firm.
If the motorhome is destroyed without any fault on the part of the Hirer or if it appears likely that its use will be prevented or withdrawn for an unreasonably long time, the Rental Firm will be entitled to supply the Hirer with an equivalent substitute vehicle within a reasonable period. If the Rental Firm supplies an equivalent substitute vehicle, any termination by the Hirer pursuant to 543 Para. II No. 1 German Civil Code [BGB]) is excluded. If in such a case the Rental Firm offers a motorhome from a lower price class and this is accepted by the Hirer, the Rental Firm will reimburse to the Hirer the difference between this and the price already paid in advance by the Hirer.
If the motorhome is destroyed due to the renter's fault or if it is foreseeable that its use will be prevented or made impossible for an unreasonably long period due to the renter's fault, the rental firm may refuse to make a replacement vehicle available.
In such a case, termination of the contract by the renter is excluded according to 543 Subsec. II No.1 BGB. If the rental firm provides a replacement vehicle, it can charge the renter with the transfer costs incurred.

Despite good care and preventive maintenance, there may occur a mechanical defect in the motorhome during the trip. In such cases, repair work may exclusively be performed by a dealer of the respective (superstructure/vehicle) brand. In case of any repair and also damage exceeding an amount of 150 Euro, the Hirer is obliged to enter into contact with the Rental Firm immediately and follow the instructions given by the Rental Firm. The Rental Firm will provide for counselling with regard to a correct handling or for arrangement of the repair. All repair work on both, the exterior and interior of the motorhome must be carried out by experts. Any unnecessary repair shall be at the Hirer's expense. The costs of repair incurred by the Hirer shall be reimbursed against submission of the specified repair invoices (made out to the Rental Firm) and handing over of the replaced parts.
The Rental Firm has insured the motorhome for cases of a transport back.
This insurance contract was concluded with the ANWB (Dutch ADAC) so that, in case of serious damage or defects that make any further use of the vehicle impossible, a transport will be taken care of. Under such circumstances, the Hirer must not only immediately contact the Rental Firm under the phone number:

but also the ANWB Alarm Center (+31(0)70-3141414 available day and night).
Among the vehicle documents, there is also a European damage report form in which a possible damage as well as the data of the other party are to be stated. This form is to be submitted to the Rental Firm upon arrival.

Traveling Abroad

All countries stated on the Green Insurance Card can be visited with the motorhome. Journeys to countries outside of Europe are subject to the prior approval of the Rental Firm. Journeys to areas affected by war or crisis are prohibited.

Fines
All costs incurred (by our company) as a consequence of criminal activities or traffic offences committed by the Hirer or a passenger are to be borne by the Hirer.
Any fines imposed are charged to the Hirer's account.

Number of Passengers- Load capacity
It is not allowed to use the motorhome with more persons than prescribed by law for the respective vehicle type (= specified number of seats and beds). After loading, the total weight must not exceed the permissible gross vehicle weight stated in the vehicle registration certificate (e.g. 3,500 kg), i.a. in connection with the driving license Class B (up to 3,500 kg) or C (> 3,500 kg).

 

Smoking

All vehicles are non-smoking vehicles.Client will be charged with any breach of this condition.

 

Pets

The transport of pets is only permitted with the express consent of the Rental Firm. Cleaning expenses, which result from non-observance, have to be paid by the hirer.

 

Safety Rules

In every refueling and every time before you start out on a journey, please switch the gas-fueled equipment off.

 

Winter Warning

External temperatures of 0 C (32 Fahrenheit) or below might cause the pipes to freeze. Under weather conditions like these, the vehicle will have to be permanently heated.

Please observe the instructions as to the frost protection device, which protects the boiler against frost. If the vehicle is not sufficiently heated, the frost protection device discharges the water from the boiler in order to prevent the boiler walls from breaking.
