USA1 -Terms & Conditions

 

General

All rentals are subject to the terms and conditions of the Rental Contract signed at the rental company office on departure with the vehicle. The Rental Contract is the governing document between the client and the rental company.  Rental prices, policies, and conditions are subject to change without notice.

 

Minimum Rental Periods

7 days minimum

  

Long Term Rental

A special discount will apply for long-term rentals.

 

Reservations / Payments

Prior to reservation the customer's credit card detail is taken as a guarantee.

300$ down payment is charged via client's credit card after booking is confirmed. Credit card accepted: Visa or Mastercard.

Full payment is required 50 days prior to date of departure. no exceptions.

For short notice bookings, full payment is required upon confirmation.

A confirmation invoice will be issued and sent to the client by e-mail or fax. Must be pre-paid:  Preparation Fee, Pre purchase miles, One-way fee, VIP Insurance.

  

Cancellation Fees

* 43 days or more prior to pick-up date 10 % of total rental (minimum 300$)

* 42 to 30 days prior to pick-up date 30 % of total rental

* 29 to 16 days prior to pick-up date 50 % of total rental

* 15 -2 days prior to pick-up date 80 % of total rental

* Less than 2 days before pick up / Non Show - 100% of total rental
Cancellation fees will be calculated of total rental cost without any discounts if any applied.
Customers who fail to arrive on pick-up day or decline vehicle at pick-up for whatever reason are considered as a departure day cancellation (no show) and will be charged 100% of the rental days.

* In any case of cancellation, a handling fee of 50$ will be charged, in addition to

   the cancellation fee.

* For one-way rental cancellation- the full one-way drop off fee plus taxes will be

  added to the regular cancellation charges.

* Separate cancellation policy applies for group bookings

 

NOTE: Cancellation notice must be in writing and during working hours 9am

16 pm Europe time.

 

Amendments - changes in Reservation

Any modification of reservation after confirmation is subject to a 45$ amendment

fee. The following changes will result in a re-calculation of daily Rate.

The rate will be calculated using the most current daily Rate and compared to the

existing daily Rate the higher rate will be use:  change of client name, change of

vehicle size, change of departure location, change in departure date, change in

drop off date, change in one way drop-off location, cancellation and rebooking.

Re-bookings are only possible in the same calendar year, subject to availability

and approval of the rental firm.

Changes may be made to a reservation confirmed to the Hirer, as long as the

Rental Firm has alternative capacity, subject to availability.

In the event that the customer is interested in shortening the rental period

or reducing miles packs,  no refund will apply if the booking has fully paid.

 

Driver Requirements
A national automobile driver's license is required.
We recommend customers to carry a translation of the national driver's license or an international driver's license, but under any circumstances, customer must provide a valid national driver's license at pick-up.
Minimum age is 21 years for all motorhomes.
 

Security Deposit - Credit Cards / Travelers Checks

The rental company accept MasterCard, VISA and AMEX, DISCOVER CARD credit cards as well as all Traveler Checks in US-Dollars.
Euro checks , debit cards or cash will not be accepted.
A valid international credit card is required for each rental. 
The rental company is not responsible for exchange rate fluctuations or handling charges for any credit card transaction.

Burning Man Festival Surcharge
A mandatory non refundable supplement of 2000$+
tax will be applied for all rentals within the dates 25 August and 4 September 2018.
This surcharge is payable at pick up station.
For rental during Burning Man period The 2000
$ security deposit will be actually charged instead of authorized at pick-up.

09.00 - 12.00 hrs / Saturdays

All Stations are closed on Sundays and bank holidays.

Arrival Day - First Night at a Hotel

Clients who arrive North America by international flights are not allowed to drive a motorhome on flight arrival day. Overseas customers must overnight before picking-up their rental unit.

Early Check In

Once you made a reservation, you can pass on all necessary information to prepare your rental agreement beforehand and save time on pick-up day. Details will be given after booking has been confirmed.

PICK-UP , DROP-OFF , TRANSFERS INFORMATION

Early Pick up with Transfer
Early vehicle pick-ups (9-11 AM) are possible at a cost of :
$54
for pick-ups between 1 October 2017 - 31 March 2018
$54 for pick-ups between 1 April- 30 June 2018 
$164 for pick-ups between 1 July - 30 September 2018 
$54 for pick-ups between 1 October 2018 - 31 March 2019

These Early pick-ups include transfers from designated hotels to rental location and the possession of the rental vehicle is in the morning.
Customers must be ready for pick-up at 07.30 hrs at one of the designated transfer hotels at specified customer waiting areas (exceptions are listed separately with the transfer hotel information).
Hotel transfer is only provided from the customer waiting area of the designated transfer hotels.
Customers must to report at the time of booking or not later than 10 working days before pick-up date in which designated transfer hotel customer is staying overnight and how many people are in customer's party.
Transfer times listed are approximate due to traffic and weather conditions. The rental
company is not responsible for refunds due to delays for any of these conditions.
* Clients who paid for Early Pick up, can pick up the vehicle between 9 and 11 am even without using the transfer service and using their own transportation.

Regular pick-ups (without transfer)
Clients who are not interested in transfer, are able to collect the vehicle with no extra charge at regular pick up hours:
Monday-Friday 13-15 PM and Saturday 10-11 hrs.
Sunday closed.

Vehicle drop-off hours are from 09.00 to 11.00 hrs.

Transfers on drop off day -free of charge
Airport transfer is included in Prep Fee and provided to all renters who drop-off their rental vehicles on or before 10.00 hrs at no extra cost.
Shuttles leave (around 11.00 hrs) from the rental location to the Las Vegas (LAS), Los Angeles (LAX), San Francisco (SFO) or Vancouver (YVR) airport only.

Airport Transfer is only provided if drop-off time is on or before 10:00 am !
No Airport Transfer is provided if drop-off time is after 10.00 hrs.
Drop-offs after 10.00 hrs may take longer than the time the airport shuttle leaves, hence if customers arrive at rental location for vehicle drop-off after 10.00 hrs, no airport transfers are guaranteed anymore.


Vancouver rentals
Note: The Vancouver rental location is in Washington USA, 30 minutes away from the YVR airport, and 8 miles from BC ferries in Tsawwassen.

Customers who fly into YVR (Vancouver airport) will need to cross the border from Canada into the U.S. and will need to have the

appropriate travel documents available for immigration. Border crossing can take up to 30 minutes.

Important: Flights on the same day
Please do not book return flights with departures before 14.00 hrs, if you want to take advantage of the free drop-off transfer to the airport.

Late vehicle drop-off / Early Return
Late vehicle drop-off surcharges are 30$ per hour.
No airport transfers are provided in the event of a late vehicle drop-off.
No refunds are made for early returns or unused portion of rentals.

Important!

* Before signing the contract please check the vehicle from the inside and outside and make sure there are no damages or broken parts. If there is some damage, have it noted to the rental agent in writing.

* Make sure you have all the items you paid for, and that nothing is missing.

* Before the departure make sure you know how to operate all the motorhome systems, mechanicals and electrical: refrigerator, heating, air condition, water etc. If it's not clear, you may ask for explanations.

* Please ask for a map or directions to nearby campground and supermarkets for you to stock up on food and bottled water.

 

Fuel (Petrol) & Gas (Propane) Information

All gasoline and all propane refueling during the trip are at the customer's expense.

Fuel tanks are full at pick-up and must be returned full.

 

INSURANCE  

Public Liability Insurance (included in daily rental rates)

The rental company maintains liability insurance coverage on all vehicles for bodily injury and property damage liability claims brought by a third party (other than a passenger) against the renter (and any other driver listed in the rental contract) and/or the company as a result of the operation or use of their rental vehicles.
The policy protects the company for USD 5 million and the renter for statutory limits applicable in the jurisdiction where rented. This basic public liability coverage is included in all rental rates. All coverage and waivers are subject to the express terms of the rental contract
.

 

SLI Supplemental Liability Insurance (included in daily rental rates)

The rental company maintains supplemental liability insurance coverage on all vehicles for bodily injury and property damage liability claims brought by a third party (other than a passenger) against the renter (and any other driver listed in the rental contract).

The policy increases statutory limits to USD 1 million for the renter. This supplemental liability coverage is included in all rental rates. All coverage and waivers are subject to the express terms of the rental contract.

 

Customer Responsibility with CDW = Collision Damage Waiver

(included in daily rental rates)

In the absence of CDW, all loss or damage to vehicle while on rent, whether or not due to the fault of customer, customer's responsibility for direct and accidental loss (including theft and vandalism) or damage to the vehicle is unlimited. That is, customer is responsible for all loss or damage.

For renter's benefit, all daily rental rates for all vehicles include Collision Damage Waiver (CDW). With CDW, the customer's responsibility for accidental damage, theft and vandalism (police report is required) to the vehicle is reduced to 1000$ USD per occurrence, with the following exceptions:

Exceptions for which there is no reduction in customer's responsibility for damages:

I) caused as a result of use without the rental company's expressed permission or consent

II) Damage caused by striking overhead objects

III) Damage caused by freezing or overheating vehicle systems

IV) All damage caused during any use of off public roads (including at camp grounds, parking lots, service stations, etc)

V) Undercarriage damage, including tires and wheels

VI) Damage caused from backing up vehicle

VII) All glass damage

Customer Responsibility with VIP = Vacation Interruption Protection (included in daily rental rates)

With VIP, the customer's responsibility for accidental damage is further reduced to USD 1,000.
In case of theft and vandalism to the vehicle, the deductible is USD 1,000

VIP also covers the expenses in the event of a mechanical breakdown requiring the vehicle to be in repair for more than 12 working hours. Radio, TV, DVD-player, air conditioning, Refrigerator, generator, microwave, appliances, automatic step, cruise control, slide out or awning malfunctions are not considered to be mechanical breakdowns. Incurred expenses of USD 30.00 per person per day for lodging and USD 30.00 per group per day for other transportation is provided. A limit of USD 3,000.00 per tour applies and this plan is not valid in case of an accident. Customer must present all receipts for refund of expenses.

VIP coverage is void (I) if customer fails to file an accident/damage police report, or (II) if vehicle is used in violation of the terms of the rental contract.

Deposit for all rentals is USD 1,000.00 (will strictly be enforced, authorized / not charged)

 

Parking / Traffic Violations / Toll Roads

Customers are responsible for reporting and paying of all parking/traffic/toll road violations at rental termination. Non-reporting of parking/traffic/toll road violations will result in an administrative charge of up to 50$ Non-reported parking/traffic violations plus administrative charge will be charged against customers credit card or will be collected at customers domicile.

Customers will have the option of buying prepaid toll packages at pick-up.

 

Maintenance and Cleaning Responsibility
Customers are responsible to check all fluid levels at each refueling. Refills of all fluids (except gasoline and propane) will be reimbursed at check-in upon presentation of receipts. Gasoline and propane costs are not included in rental price.

Gasoline tanks and propane are full at pick-up and must be returned full. Vehicles must be returned clean inside. Otherwise, cleaning charges may occur.

Water tanks must be returned empty, or service charge will accur.
 

In Case of Emergency / Accidents
In case of an accident, customers must notify the police for a police report immediately, also inform the drop-off station within 24 hours and make full report in writing. CDW/VIP accident coverage is void if customer fails to follow these procedures.

 

Repairs / Refunds

Necessary repairs are refunded without previous authorization up to 50$

Customer must provide receipts. If customers pay repairs exceeding  50$  without previous authorization, we will not refund. Clients assume full responsibility for any additional expenses incurred by reasons of a breakdown of vehicle. If a vehicle which had a breakdown and is in repair for more than 12 working hours, through no fault of customer, our responsibility to client is limited to refund the daily rate or a portion thereof (VIP coverage).
No refunds will be made for breakdowns in Death Valley (between June 15 and September 15).

Radio, TV, DVD-player, GPS, air conditioning, refrigerator, microwave, any appliances, plumbing, generator, awning  and cruise control and awning, are not considered mechanical breakdowns and no refunds are made for repair time to these items.
The rental company is not responsible for any GPS map accuracies, errors or updates.

There will be no refunds made for the early return of a rental vehicle.

 

Substitutions / Upgrade / Downgrade

The rental company is entitled to upgrade customers to a higher rated vehicle at no extra cost. Should a lower rated vehicle be offered, the responsibility of the rental company is limited to the refund of the difference in gross rates.
Incase client received an upgrade, there will be no compensation incase of additional costs due to ferry crossing or higher petrol costs.

 

Restricted Areas

* Mexico

* Death Valley from June 15 to September 15

* Logging roads, non-public roads and off-road driving
* Manhattan

Northern Travel supplement

All rental vehicles traveling to Alaska, the Northwest Territories or the Yukon are permitted and must be confirmed in advance. A 450$ prepaid non-refundable supplement is required.

  

Baby / Child Seat

According the official recommendations of the motorhome manufacturer :
in the B21, D22, E23 you can attach only 1 safety seat/ Infant seat.
Due to applicable law, a baby or child seat must be attached in the rear of the vehicle, not in the front seats
.
The safety seat will be attached at the "front facing seat" of the dinette (that's where the anchor is located).
All coaches are equipped with minimum one anchor for Three-point child or baby car seat attachment.

Note: Infants under 6 months age , under 9 kg weight and less than 70 cm , are not allowed to travel in these vehicles.
Dinette table may require lowering to install baby and child seats. The dinette table will only lower to seat level. Due to this other passengers will not be able to travel in the dinette area, if the dinette has been lowered.
Legally It is the client
's responsibility to attach child seats to the rental vehicle.

No Pets Allowed
If this policy is not followed, the renter will be responsible for a penalty up to USD$ 1,000

Towing / Storing

Towing is not permitted. Storing items on vehicle roof or exteriors is not permitted.


Luggage Storage

The rental company provides free storage of luggage, all at owner's risk

Winter operation / Winterization

It is the renter's responsibility to have the vehicle winterized if traveling to colder areas to prevent freezing. This will include the water pipes, toilet, fresh water tanks, sink, shower, external shower, hot water heater and holding tanks. Winterization requires that water be drained from the fresh water tank, hot water heater and both waste tanks. Once the vehicle is winterized, no water can be put into the fresh water tank and it cannot be hooked up to the city water supply anymore. Therefore, no water at all is available in the motorhome. The toilet, however, can still be used as long as windshield washer antifreeze is poured down to rinse. Winterization or de-winterization of rental vehicle while on rent is at expense of customer. Please inform your clients at the time of booking.
