Summary of Rental Conditions

This document contains a brief summary of our rental conditions. The full details of our rental contract do apply.

Rental Charges
Day of pick up and day of drop off are each counted as days of rental regardless of time of pick up and drop off.
When a rental moves from one rate season into the next, the calculation is based on both rates.

Reservations / Payments.
All reservations are confirmed according to vehicle category and not according to vehicle model.
A Down payment of 5% of total booking, minimum 300 NZ$ will be charged after booking confirmation.
full payment will be charged 95 days prior to pick up day.
All charges are made in USD$ or Euro (depend on the client's nationality) .Exchange rates according :
Credit card accepted: Visa or Mastercard.
Extra items will be paid by the client at the pick up location.
All Inclusive Package - must be pre-paid 35 days prior to pick up.

Booking Cancellation Policy
In any case of cancellation, a handling fee of 100$ will be charged in addition to the cancellation fee.
If  vehicle is returned early for any reason whatsoever No refund available
If a bookings travel dates are amended to a lower season rates or less number of days, the cancellation fee for the original booking will apply.
Cancellation notice must be in writing and during office working hours 9am-16 pm Europe time.

Cancellation Fees for all pickups

If cancelled 95 days or more prior to pick up. 5% of Total (minimum 300$ NZ)
If cancelled 94 to 25 days prior to pick up - 10% of Total Rental (minimum 300$ NZ)
If cancelled 24 to 10 days prior to pick up - 20% of Total Rental
If cancelled less than 9-2 days prior to pick up - 55% of Total Rental
If cancelled less than 2 days before pick up or no-show - 100% of Total Rental

Booking Amendments
The Flex rate that applies is always based on the date that the booking (or amendment) is made. Once booked you have secured this Flex level.
Any amendments subsequently made to the original booking will be treated as a cancellation and then as a new booking. Therefore, the Flex rate that applies during the week the amendments are made will then be charged for the entire new rental. There are no exceptions to this rule.

If an amendment is made to the rental dates within 14 days of collection, no refund will be made if the length of hire is shortened (that is; the rental will be charged at the number of days originally booked).
A relocation fee may apply if the collection or return location is amended within 14 days of vehicle pick up or if notification occurs during the hire.

Branches: Auckland and Christchurch
Branches are open seven days a week,
8am to 4:30pm.
Branches will be closed Christmas Day, New Years Day and Good Friday.

Public Holiday Surcharge
A NZ$50 (100$NZ from April 2018) surcharge will apply to all rentals picking up and/or dropping off on
National public Holidays:
Easter Monday (17th April 2017)

Queen's Birthday (5th June 2017)
Labour Day (23rd October 2017)
Boxing Day (26th December 2017)
Day after New Year's Day (2nd January 2018)

Pick up / Drop off
7 days a week, 08:00-16:00
Latest pick-up is 4pm

Vehicle Condition

Vehicles must be returned with the interior cleaned and holding tanks emptied. The vehicles exterior does not require cleaning unless it is difficult to ascertain the condition of the vehicle on return. Fees will apply if the vehicle is not returned in the required condition.

Vehicles must be collected and returned to our branches (not airports).
A transfer to the branch from the Airport and vice versa is provided free of charge during hours of operation.

Rental Duration
The minimum rental for all vehicles is seven days
* Except for rentals between 15 December and 10 January, which require a minimum of 14 days.

* Between 1 February 2019 to 12 February 2019, a minimum rental period of 10 days applies for all vehicles with shower and toilet. 
Minimum rental periods are subject to change during peak periods.

Driver's Licence and Minimum Age

A valid, non-provisional, state or overseas driver's licence is required. If the driver's licence is not in the English language (eg German, French, Chinese etc) then an international driver's licence is also required. The driver's licence must have been held for at least two years and be valid for the whole length of the rental. The original driver's licence must be shown at time of pick-up when the driver is present.
The minimum age to drive the vehicle is 21 years and the maximum age is 75 years.

Multiple Rentals
Consecutive rentals can be combined to qualify for a long-term discount rate. Australia and Zealand rentals as well as car and motorhome rentals can also be combined for long-term discounts providing travel is within a 3 month period. If drop off of a vehicle and pick up of a new vehicle occurs on the same day then a day each will be charged per respective vehicle. Multiple rentals are treated as separate rentals under the one way fee and minimum rental period conditions.

Change of Drop Off Destination
If the renter wishes to change the drop off destination after the rental has commenced, they first must obtain authorisation from the rental company’s Head Office. Subject to the change being approved, an additional charge of $750 will be charged

Rental Extension
If the customer wishes to extend the rental whilst on hire, they must first obtain authorisation from Reservations.
This is subject to availability. The extra cost of an extended rental must be paid by credit card over the telephone or at a rental branch immediately on confirmation of the rental extension. The additional days will be at the Gross Rate available at the time of the extension.
Failure to obtain authorisation will result in the renter being charged double the daily gross rental rate.

Although we run late model vehicles, it may happen that small repairs are required. Repairs up to $100 may be affected without authorisation and will be reimbursed unless the damage is caused by the renter.
For amounts over $100, the rental company will need to be informed in advance. All vehicles are enrolled in the Australian Automobile Association and 24hr emergency roadside assistance is available.

From April 2018 - Holiday Disruption Coverage

Should the hirer's motorhome holiday be disrupted by a mechanical breakdown as defined below (which does not extend to accident or damages caused by the renter), for more than 12 working hours after reporting to Apollo, the renter will be reimbursed up to a maximum of the gross daily rental rate for each day affected until the problem is rectified. Failure of mechanical and accessories which includes living cabin air conditioner, water pump, shower/toilet, refrigerator, stove/grill must be assessed by a branch or authorized repairer. Reimbursement is only possible when Apollo has been contacted to rectify the problem and the hirer cooperates to do so. Failure notify Apollo acknowledges that the issues is of such a minor nature that the hirer makes no claim for loss of time in respect of their rental. Defects and repairs of Wi-Fi, travel devices, radio, TV, CD or DVD player, awning, cruise control, etc. are not considered mechanical breakdowns and are excluded from Holiday Disruption Coverage.

The following conditions results in the compromised performance of accessories and as such Apollo will not be held liable for financial compensation:

- Air conditioners in temperatures over 36 degrees Celsius

- Electric and Propox Gas heaters in temperatures under 4 degrees Celsius

- Freezing of water pumps in temperatures below 2 degrees Celsius

Traffic Infringements
We reserve the right to charge the renter for any speeding or parking fines, traffic infringements or road toll fines.
An additional administration fee of $75 will apply to cover the costs of processing.

Change Of Vehicle
Should the vehicle booked be unavailable through unforeseen circumstances, we reserve the right to substitute an alternative vehicle without prior notification and at no extra cost. This shall not constitute a breach of contract and does not entitle the renter to a refund.

Vehicle Category
Vehicles cannot be requested by make or model, only by vehicle category.

Voluntary Downgrade
Should the renter decide to take a lesser vehicle than booked they will not be entitled to any refund.

Limit of Liability
In the event of no alternative vehicle being available to the renter our liability is limited to a refund of the hire charge or in the case of mechanical failure (unless caused by the renter) the remainder of the hire period.

Ferry Reservations:
Ferry reservations can be difficult to manage during high season. We recommend that a reservation is made for a 7.7m vehicle on the ferry, irrespective as to the size of the motorhome reserved, to avoid complications due to possible upgrades.

Travel Restrictions
Two Wheel Drive Vehicles can only be driven on sealed/bitumen roads. The only exceptionto this is the loose road surface on any major ski field access roads or any recognized campground access road less than 12 kilometers in length.
No vehicle shall be driven on Skippers Road (Queenstown), The Crown Range Road/Cardrona Valley Road from Cardrona to Arrow Junction (Queenstown), Ninety Mile Beach (Northland), Ball Hut Road (Mt. Cook) and North of Colville Township (Coromandel Peninsula).
Apollo reserves the right at its sole discretion to restrict vehicle movements in certain areas due to adverse road or weather conditions, and the distance to nominated destinations in relation to the length of the rental period.

We reserve the right to refuse any rental at our discretion.

No animals are permitted in our vehicles, excluding guide dogs.

Smoking is not permotted in our vehicles.

Travel Insurance

We strongly recommends that renters ensure they take out the highest level of Travel Insurance.


Personal Injury
New Zealand legislation provides limited coverage for personal injury. We strongly recommends that all people travelling in New Zealand take out their own personal travel insurance.

Property Damage
The Vehicle is insured for damage to it or damage to the property of a third party. However the renter is responsible up to the amount of the applicable Liability for the cost of such damage to third party property, or to the rented Vehicle. The renter is also responsible for the cost of demurrage for the period the Vehicle is unavailable due to repairs.
The Liability applies in respect of each claim, not per rental.
The Liability is applicable regardless of who is at fault and must be paid at the time the accident is reported to the rental company not at the completion of the rental Period

Standard Liability
(different rates and conditions apply to Cheapa models)
The rental charge includes a Standard Liability of $5,000 for the Endeavour Campervan, Hitop Campervan and Euro Tourer. For all other vehicles a $7,500 Standard Liability applies.
A Bond of $5,000/$7,500 will be collected at the time of entering into the Rental Contract. Payment of this Bond is only accepted by credit card. The bond will be debited to the credit card account immediately. An administration fee equal to the merchant surcharge applies.

The Standard Liability can be reduced by purchasing one of the following Reduction

Reduction Option 1 -  $30 per day (maximum 1500$NZ) (from April 2018 - 38$NZ per day, Max 1900$NZ)
A Liability of $2,500 applies.
The maximum amount payable for this Option per rental is 1500$NZ- i.e. 50 days rental.
A Bond of $2,500 will be collected at the time of entering into the Rental Contract. Payment of this Bond is only accepted by credit card. The $2,500 will be debited to the credit card account immediately. An administration fee equal to the merchant surcharge applies.
For Cheapa 4/6 berth -24$ NZ per day (maximum 1200$NZ) (from April 2018 - 32$NZ per day, Max 1600$NZ) 
For Cheapa Hitop / 2 berth - 18$ NZ per day (maximum 630$NZ, A liability of 1250$NZ applies) (from April 2018 - 22$NZ per day, Max 1100$NZ)

Reduction Option 2 (VIP Cover) - $45 per day (maximum 2250$NZ)
A ZERO (0$) Liability applies.
The maximum amount payable for this Option per rental is 2250$NZ- i.e. 50 days rental.
Under this option one windscreen, two tyres and demurrage will be covered for accidental damage. Should these amounts be exceeded the cost to repair or replace the items will not be covered and will be the responsibility of the renter. A Bond of $250 will be collected at the time of entering into the Rental Contract. This Bond is payable to Apollo by an open signed credit card imprint with an authorisation obtained (sufficient funds must be available) for $250.
For Cheapa 4/6 berth -24$ NZ per day (maximum 1950$NZ)
For Cheapa Hitop / 2 berth -18$ NZ per day (maximum 980$NZ) (from April 2018 - 32$NZ per day, Max 1600$NZ)

Single Vehicle Accident Liability
For all vehicle types, if a Single Vehicle Accident (an accident involving just the rental vehicle) occurs on any unsealed roads or access roads to ski fields or campgrounds; then an additional Liability of $7500 will always apply.

For security purposes, only a credit card can be used to provide a Bond.
The credit card holder must be present and able to sign for the Bond upon vehicle collection. The credit card holder is jointly and severally liable for any damage to the rental vehicle.
The Bond is fully refundable when the vehicle is returned to the correct location on time, is full of fuel and all other terms of the Rental Contract have been complied with. If there is damage to the vehicle on its return, the Bond will be used to cover the cost of such damage up to the amount of the relevant Liability. However, if the terms of the Rental Contract are breached and the Bond is insufficient to cover the damage then any extra cost will be charged. Refunds by credit card including bond refunds can take up to 21 working days depending on the renter's Financial Institution.

Credit Cards
The rental company only accept Visa, MasterCard, American Express and Diners Club.  A non-refundable surcharge fee on any credit card transaction (including the Bond) applies. The fee for Visa and MasterCard is 2% and the fee for American Express and Diners Club is 4.5%.

Exchange Rate / Currency Variations
All credit card transactions are conducted in NZ dollars. Due to exchange rate fluctuations there could be some variance in the amount refunded compared to the amount initially charged. We do not accept any liability for variances up or down. Refunds by credit card can take up to 15 working days depending on the renter's Financial Institution.

Full Responsibility
At all times the renter is responsible for:
* Damage caused where the terms of Rental Contract have been breached.
* Damage caused by negligence.
* Damage caused to the Vehicle in any way by part or total water submersion or salt water.
* Damage caused to the Vehicle by the renter's willful conduct.
* Damage caused to the Vehicle by the use of snow chains.
* Damage caused due to a single vehicle roll over.
* Damage caused to the Vehicle when using the Vehicle in contravention of any legislation or regulation controlling vehicular traffic.
* Damage or loss caused to any personal belongings.
* Damage caused due to use of incorrect or contaminated fuel.
* Damage caused to tyres and Windscreen unless Reduction Option 2 has been purchased (not in Cheapa models)
* from April 2018 - Damage to the undebody of the vehicle except where Value pack has been purchased (not for Cheapa vehicles)
* Damage to the awning, overhead or underbody of the Vehicle.

Motorhome International arrange the rental between the client and the rental company. when you pick up the vehicle, you must sign a rental contract provided by the rental company and subject to local laws.
